Excel Personnel has been retained by our client in Beautiful Kamloops to recruit their next Welcoming and Gracious Administrative Assistant.

Job Purpose

Accountable to the General Manager, the Administrative Assistant is the first line of contact and responds to queries and directs tenants, family members, vendors and other stakeholders accordingly. As well as, provides administrative support to the management team on a daily basis.

 

Scope of the Position

This position will work with our client's team members and internal and external stakeholders.

Key Responsibilities:

  1. Provide front desk receptionist duties.
  2. Maintain a list of regular contact of outside agencies, stakeholders including government and regular committee contacts.
  3. Maintain a list of residents with applicable information.
  4. Completes various financial tasks.
  5. Collects, processes, receives, sorts and distributes mail and other correspondence.
  6. Compiles, printing, photocopying and distributing reports and newsletters as appropriate
  7. Prepares various correspondence and signage.
  8. Monitors and orders office stock supplies as approved by the General Manager.
  9. Provides support and assists with Dining Room meal cards and tickets.
  10. Take bookings for Hospitality Suite rentals, private dining room and processes.
  11. Assist with staff scheduling.
  12. Maintains confidentiality on all matters.
  13. Other duties as required.

Qualifications and Competencies

The position will require the following qualifications, values and competencies.

Qualifications

Completion of grade 12 with (5) five years relevant experience or an equivalent combination of education and experience.

Knowledge, Skills and Abilities

  1. Knowledge and ability of working with seniors and families.
  2. Good administration and general office finance skills.
  3. Ability to create and maintain file management, records and documentation systems.
  4. Ability to prioritize work and meet deadlines.
  5. Must have good interpersonal, communication and writing skills.
  6. Demonstrated organizational, time management and presentation skills.
  7. Discretion, ability to respect confidentiality and handle sensitive information.
  8. Some problem solving skills and experience.
  9. Knowledge of MS Office software.
  10. Some technical aptitude for computer hardware and software
